Floww builds and runs call-automation systems for home-services contractors in the United States. This policy explains what personal information we handle, why, and what you can do about it.
Who we are
Floww is a service of Splash Xedia LLC, 1910 Thomes Ave, Cheyenne, WY 82001, United States. Questions, requests and complaints: ali@flowwhq.com.
Two kinds of information
1. People who contact us about our service. If you email us or ask for a demo, we hold your name, email address, phone number, company name and what we discussed, so we can reply and keep track of the conversation.
2. Homeowners who submit a contractor's lead form. When one of our clients uses our system, we process the details a homeowner entered on that client's own form — usually name, phone number, email address and what they need done. We handle that information on the contractor's behalf and under their instructions. The contractor decides what happens to it; we are the tool that calls the homeowner and books the appointment.
What we do with it
- Place a phone call to the homeowner who submitted the form, and connect them to the contractor's team
- Send follow-up calls, text messages and voicemails about that same enquiry when the first call is not answered
- Book an appointment into the contractor's calendar
- Record and transcribe calls for quality, training and dispute resolution
- Report back to the contractor: how many leads came in, how fast each was called, how many connected
We do not sell personal information. We do not share it with other contractors, and we do not use one client's lead data to benefit another.
Calls and recordings
Calls made or received through our system may be recorded. Where a call is answered by an automated voice assistant, the assistant identifies itself as automated at the start of the call. Recordings are stored with our telephony providers and kept for as long as the contractor's account is active, unless they ask us to delete them sooner.
Text messages
Text messages are only sent to people who submitted a form requesting contact, and only about that enquiry. Reply STOP to any message and it stops immediately. We do not send marketing campaigns, and we do not message purchased or scraped lists.
Who else sees it
We use third-party providers to run the service, and they see only what they need to:
- Telephony providers, to place calls and send messages
- Voice AI providers, to run the automated qualifying call
- Calendar and CRM tools chosen by the contractor, to book the appointment
- Hosting and email providers
We may also disclose information where the law requires it.
How long we keep it
Lead records and call recordings are kept while the contractor's account is active, and deleted within 90 days of the account closing. Emails from prospective clients are kept for up to two years.
Your choices
- Ask us what we hold about you, and ask for a copy
- Ask us to correct or delete it
- Reply STOP to any text message, or tell any caller to put you on the do-not-call list
- Ask not to be called again — we honour that across every client account
Email ali@flowwhq.com and we will action it. If the information was submitted through a contractor's form, we may pass the request to them as well, since it is their record.
Security
Data is held on access-controlled servers and encrypted in transit. We limit who can see client data to those who need it to run the service.
Children
Our service is for businesses. We do not knowingly collect information from anyone under 18.
Changes
If this policy changes, the date at the top changes with it.
